Setting up HubSpot across several countries.

One account. Separated by design.

Set up HubSpot for a multi-country company in Southeast Asia as one account where possible: Brands for each country or business line, one company currency plus local currencies, multi-language pages and email, teams and permission sets by market, and privacy settings, legal basis and consent configured for each country's data protection law.

One account or several?

Start from one HubSpot account for the region unless a law, a separate legal entity with no shared customers, or a sale of the business forces a split. One account gives leadership one customer record, one pipeline view and one set of reports. The design work is in separating brands, currencies, languages and access inside it.

How do you separate brands or business units?

HubSpot's Brands feature, previously called business units, lets one account manage several brands. It needs Marketing Hub Enterprise and a Brands add-on per brand, up to 100 brands (HubSpot Knowledge Base). Each brand gets its own tracking code, forms, marketing emails, email subscription types, campaigns, cookie banners and filtered reports. Opt-outs are brand-specific. Only Super Admins can create and edit brands.

Many groups use one brand per country site, or one per business line. Decide this before you build forms and emails, because an email's brand cannot be changed after it is created.

How do multiple currencies work?

You set one company currency for consolidated reporting, then add currencies with an exchange rate against it (HubSpot Knowledge Base). Starter, Professional and Enterprise accounts can use multiple currencies, with different limits on how many. Rates update on open deals and freeze on closed deals at the close date. Line items must match the deal's currency.

How do you handle languages?

  • Website and landing pages. Multi-language variations share a page structure with a language-specific slug and a language switcher. Starter allows up to 50 variations; Professional and Enterprise are unlimited, with Breeze translation (HubSpot Knowledge Base).
  • Marketing email. Multi-language email is available from Marketing Hub Starter; AI-generated translations need Professional or Enterprise (HubSpot Knowledge Base).
  • Review. Machine translation is a draft. A native speaker in each market approves customer-facing copy.

How do you set up teams and permissions?

  • Teams. One team per country or region controls which records people can see, and drives reporting and routing. Teams need Professional or Enterprise; nested child teams need Enterprise, where a parent team sees everything owned below it (HubSpot Knowledge Base).
  • Permission sets. Enterprise only. Define access once per role, such as country sales manager, and assign it to users (HubSpot Knowledge Base).
  • Property restrictions. Enterprise lets you restrict who views or edits a property. HubSpot warns this is not a security measure, since restricted properties can still change through the API or on record creation (HubSpot Knowledge Base).

How do you handle data protection per market?

HubSpot hosts data in the EU, Canada, Australia and the United States, with no immediate plans for more data centres (HubSpot). Choose the data centre at setup, and document cross-border transfers for each market. HubSpot's data privacy settings, available on all plans, turn on the cookie banner, legal basis tracking and consent on contacts (HubSpot Knowledge Base). Set legal basis and subscription types per market. Our data protection by country answer covers Malaysia, Singapore and the Philippines.

What order should you build in?

  1. Account and data centre decision.
  2. Brands, currencies and teams.
  3. Permission sets and property access.
  4. Privacy settings, legal basis and subscription types per market.
  5. Languages, content and channels, then automation and agents.
